→ RECEIVING COORDINATOR - Tempe Location 

The Receiving Coordinator is responsible for receiving all publisher shipments and Ingram deliveries in an orderly and timely manner. Communication is a key trait in this role. The Receiving Coordinator will need to speak with customer service departments as well as to inquire about delivery delays and communicate those delays with the book buyer and store manager. The receiving coordinator works directly with the book buyer, store manager, receivers in both stores, gift receivers, and IT and remainders manager.

Position requires a 40 hour work week.  Must have a flexible schedule.

Receiving Coordinator Job Description:

Duties include:

  • Moving and lifting heavy cartons, 50+ lbs.
    • Cartons are to be moved from the loading dock to the receiving area as soon as they arrive.
    • Boxes will need to be lifted from stacks and from the ground to the receiving counter. 
  • Reporting damages and shortages to publishers within 24-48 hours.
    • Reordering and returning damages as needed.
    • Documenting damages and shortages
  • Checking status on all backorders and pending special orders weekly. 
    • If the status of backorders or special orders is unknown, the receiving manager must place the order or find out why it is missing.
  • Receiving all deliveries daily in a timely and efficient manner. 
    • Books must be inspected quickly while receiving to check for small and large scale damage.
    • All books must be labeled before putting on the shelving cart.
    • Work with backup receivers to achieve efficient and quick receiving procedures.  Give feedback as needed on best work habits.
  • Receiving customer special orders completely.
    • Special orders receive precedence and should be processed upon arrival.
    • These orders must be matched with their blue slip and with any other books in the order and taken to the appropriate location. I.e. the waiting for more shelves, mailout shelf, or front info to be called for pick up. 
  • Receiving all transfers from PHX.
    • Transfers for customers must be received and marked as PIF or NPIF. 
    • Transfers for customers must be matched with the rest of their order if applicable and taken to front info for calling or mailout station.
    • Transfers for store stock must be placed on shelving or new release cart accordingly.
  • Transfer orders as needed.
    • Complete store to store transfers when the purchase order calls for it. 
    • Observing PO notes is a necessity.
    • Completing the transfer at the end of the day so all transfers can go under the same transfer number.
  • Sort new releases from backlist orders.
    • New releases are to be placed on the new release cart and not to be taken to floor until release date. 
    • Early receipt of further dated new releases must be sorted away from recent new releases and held until the appropriate date. 
  • Communicate with the gift receiving team and remainder team to ensure all needs and future deliveries are covered.
  • Crossover work when needed within other receiving areas. Create an environment where all receivers help each other accomplish tasks.
  • Communicate with the return manager about available open space time for return pallet placement before a pick-up. 
  • Maintaining a safe and neat work environment.
    • Cardboard is recycled daily.
    • Garbage emptied when needed. 
    • All full or partially full carts wheeled onto the sales floor for shelving before the end of shift.
    • Making sure any supply needs are ordered before running low.
  • Receiving and inspecting all event books.
    • If there are damages, event books must be reported immediately.
    • Communicate with the event manager on the status of damaged books and whether a reorder or credit is necessary.
  • Knowledge of upcoming events and the status of the books that have been ordered for them.
    • Being a third set of eyes on event orders and communicating when books haven’t been ordered or when additional event books are needed. 
  • Maintaining the event book wall in receiving.
    • Keeping event books in order of event dates.
    • Moving event books to return when the event has passed.
  • Overseeing and maintaining the mailout station.
    • Notifying the scheduling manager of mailout needs.
  • Order all supply needs well before running out. 
    • USPS boxes
    • Mailing envelopes, boxes, etc.
    • Orders and maintains proper levels of store bags, tissues, boxes and gift wrap.
  • Mailing out and checking in event book orders within two days of the event.
  • Receiving and placing store supplies in their appropriate areas.
  • Maintaining the receiving area by keeping all shelves clear and organized as needed. 
  • Assist with shelving of books when all other duties are complete. This is essential on big shipment days and during the holiday season.
  • Must have reliable transportation.

  • Understanding of the CHB mission, history, and the fine details of CHB customer service, inventory, events, and food and beverage offerings at First Draft.
  • Excellent and friendly service for every customer whether they be in the store, online or on the phone. Customer service requires patience, kindness, and the ability to work with diverse communities and customer needs. Excellent customer service that requires following up and following through.
  • Ability to provide curbside pickup service - picking up orders and running them outside the store to the waiting customer.
  • Gain an excellent knowledge of our book and gift inventory, with the ability to make recommendations and upsell merchandise. A love of reading and the ability to provide written and verbal staff recommendations for books.
  • Gain complete and accurate knowledge of our in-store and virtual events and workshop programming. Able to talk about events and assist customers with registration and check-in through Eventbrite.
  • Ability to properly shelve and restock books and gifts.

If you have a passion for technology and reading then Changing Hands Bookstore is the perfect place for you. Changing Hands Bookstore is seeking an IT manager who is self-disciplined, has problem-solving skills, pays attention to detail, is a teamplayer, and has great communication skills.

Changing Hands is Arizona's leading independent bookstore, offering new and used books, unique gifts, toys, and more than 300 author events every year. In business since 1974, CHB has two locations, in Tempe and in Phoenix. The Phoenix location is home to Changing Hands' own First Draft Book Bar, one of a small handful of "book bars" in the U.S. that serve wine, beer, and coffee drinks in addition to book and event offerings.

40-hour in person workweek required
 

The Changing Hands Bookstore Information Technology and Systems Manager coordinates all aspects of technology both hardware and software at both Changing Hands locations and at First Draft Book Bar.

 

This position:

  • Repairs and replaces desktop computers
  • Maintains servers, network, routers, printers, scanners.
  • Maintains and troubleshoots all wifi network and computer-related issues. 
  • Maintains and upgrades store telephones.
  • Maintains, manages upgrades and works with Booklog, the POS system of Changing Hands and Upserve the POS system of First Draft Bookbar.
  • Manages, upgrades and repairs credit card terminals and receipt printers ensuring PCI compliance at registers and on our website. 
  • Research technology to improve the functionality of all systems.
  • Trained in many store positions and functions, including as a bookseller.

The ideal candidate:
  • Aptitude for installing, maintaining and repairing software and hardware. 
  • Ability to troubleshoot and repair wifi outages, network issues and ability to work with tech teams through emails and phone calls.
  • Having excellent problem solving skills and providing new ways to implement more effective usage of Google Suite and our POS/inventory control system by researching and communicating with Booklog, our POS provider and other Booklog users to become familiar with current features as well as options added in each new software release.
  • Excellent communication skills through phone and email communication.
  • Ability to prioritize functions of the business.
  • Ability to work with staff from various departments, to be responsive, patient and to assist with all training. 

RESPONSIBILITIES INCLUDE BUT ARE NOT LIMITED TO:
  • Oversight of maintenance and administration of POS and inventory control systems
    • Contacts and coordinates with Booklog technical support representatives, both by phone and by email, for troubleshooting and support as needed. Coordinates with Booklog technical support representatives to install new updates to bookstore PCs.
    • Performs routine maintenance on the Booklog server computers in both stores. 
    • Troubleshoots common issues and trains booksellers and/or floor managers to troubleshoot and resolve such issues as needed
  • Oversight of maintenance and administration of store computers and networks
    • Performs routine maintenance on store computers, including Windows updates and antivirus scans
    • Assists with the maintenance and administration of Google Suite services
  • Oversight of store PCI (Payment Card Industry) compliance status
    • Coordinates with Merchant Services and/or ControlScan support representatives for support and troubleshooting as needed
    • Schedules regular ControlScan scans as required for Tempe, Phoenix, and First Draft
    • Fills out annual ControlScan questionnaires for Tempe, Phoenix, and First Draft
  • Oversight of each store’s phone system.
